Rejecting Event Submissions with Feedback

This article covers how to reject a community-submitted event from your Pending Events queue and optionally send the submitter feedback explaining why.
When a community-submitted event isn’t a fit for your calendar, you can reject it and optionally send the submitter a note explaining why. This keeps your Pending Events queue clean and gives submitters the context they need to resubmit correctly, or understand why their event wasn’t approved.
How to Reject a Submission with Feedback
- Log in at Seeker
- Click ‘Events’ in the left sidebar
- Click ‘Pending’ from the submenu
- Find the event you want to reject and click the ‘⋯’ menu on the event card
- Click ‘Reject’ from the dropdown
- Enter your rejection reason in the text field (optional but recommended: this message is included in the notification email sent to the submitter)
- Click ‘Reject’ to confirm. The event is removed from your queue and the submitter is notified.
What the Submitter Sees
When you reject a submission, the submitter receives an automated email notification from Seeker. If you included a rejection reason, your message appears in the email body.
- The email comes from Seeker. Keep your reason clear and specific so the submitter understands the context even without recognising the sender.
- There is no built-in reply mechanism. If you want them to follow up, include your contact details in the rejection reason.
- There is no lockout period. Submitters can resubmit at any time.
Tips for Writing Rejection Feedback
- Be specific about why. “Doesn’t fit our calendar” is less useful than “We only feature events within the city limits of Cincinnati.”
- Tell them what to fix if resubmission is welcome. “Please resubmit with a full street address and a cover image” gives the submitter a clear path forward.
- Keep it professional. The email goes to a real person, a local business owner or community member. A short, respectful note goes a long way.
